Included Services

  • Answering your phone – immediately, when it rings – is the lifeblood of any counseling practice. We answer your calls live, here at Supported Practice, just as though we were sitting in your offices. How? Your phone number is forwarded to our system and our caller ID let’s us know it’s your practice line calling. So we can answer like a member of your practice – instead of a call center or someone’s kitchen table (we’ve heard some crazy stories). Voicemail and email are also forwarded to us (and you, too, if you like) and are answered within a couple of hours at the latest.

  • It’s not enough to answer your phone quickly. This is a counseling practice, not a car dealership. Customer service, kindness, and professionalism are just the start. Supported Practice only hires college graduates with degrees in Counseling, Social Work, or an allied field (most of them are graduate students working their way through school).

    The clinical training our Virtual Assistants have enables us to field calls with sensitivity, and it also allows us to make nuanced, excellent clinical matches between prospective clients and your clinicians. Anyone can drop someone into an available appointment. It takes training and clinical experience to make a perfect match based on fit.

  • Does your practice accept insurance? We can do a preliminary verification of benefits for your new clients – often within hours, and by next day at the latest.

    Does your practice only accept self-pay clients? Congratulations! We are going to help you dramatically increase the number of clients you see. We are very, very comfortable and experienced having conversations about money with clients (Sanctuary Counseling does not accept insurance). We are prepared to answer concerns and objections about your fees. And… drumroll, please… we will check into their out-of-network benefits for them. What’s their deductible? How much is met so far this year? What’s the coverage? How do they submit it? Supported Practice can help you attract and retain clients who previously thought your services were out of reach. Our practice partners tell us this is a game-changer!

    Please note that this can add significant additional time to your monthly budget, so please let us know if you want this service. Clients are ultimately responsible for knowing their insurance benefits and how to utilize them.

  • Everyone has their preferred scheduling habits. No new clients on Fridays? No problem. Couples sessions need an extra 30 minutes but only if they are new and you only see them on Mondays? Yep. We got it. Give us access to your calendar, tell us your needs, and let us take it from there. You’ll wonder how you lived without someone looking after you and your time. You so deserve it!

  • Simple Practice, Theranest, Therasoft, Therapy Notes, Therapy Appointments… Whatever your EHR, we have plenty of experience navigating it’s quirks. We can set up new clients in your EHR, send them your intake/onboarding paperwork via a portal or directly from us via email, and get them scheduled right away. Supported Practice can also help you harness the reporting features of your EHR, so you can stop being overwhelmed by numbers and start gaining important insights into your practice. We are here to help!

  • None of us got an ounce of business training in our graduate counseling program. And most counselors were not math majors for good reason. But fear not! Numbers are just there to tell a story. Counselors are great at understanding stories! And Supported Practice can help you learn how to read the stories your data is trying to tell you. Each week you will receive a report tracking the status of your leads, and each month you will receive a report tracking your conversion rates (that’s how many leads became clients). Wondering whether those Google Ads and Psychology Today listings are worth your investment? We can help you track that information, and so much more. What would you like to know?

  • Having an EHR, a CRM, and whatever you might be using for accounting (probably Quickbooks, right?) sounded like such a cool idea when we first signed up. And then the reality of maintaining, auditing, and managing those systems set in. It’s not so much that it’s difficult… it’s just a time-suck. And some subscriptions that charge by the profile or user can lead to wasted money if not kept up to date. Additionally, we know so many practices that do not have all these systems integrated and working together. Let’s look at what you have, maybe get your accountant into the conversation, and truly harness the possibility of great systems in your business. Not sure what all these acronyms even mean? In desperate need of some systems and standardized practices for your group? We can do an assessment to help you prioritize where you want to make improvements and can guide you every step of the way.

  • Someone out on leave? Did your bookkeeper retire to a tropical paradise? We are happy to handle your bookkeeping and payroll responsibilities, and we know how quirky these tasks can be (flat fee, percentage, variable groups, insurance, OON…). Need assistance with setting up some standardized operating procedures for collecting payments and timekeeping? We can help there, too.

  • Dashboards are amazing tools. In one consolidated place, you can see ALL the information that is important to you. Conversion rates, profitability, marketing outcomes, client retention… you name it, we can pull it into a customized dashboard just for you. From there, you can maintain the data or our VA staff can do it for you.

  • There are businesses out there who focus exclusively on submitting claims and following up on them. If you have a need for some high-volume claims support, we recommend you hire someone who does this exclusively. If, however, you have an occasional need to trouble shoot a few claims and you just do not have the time to spend on it, please let us help.

  • Social media is an extremely important asset to gaining clients and growing your business. With our marketing support services, we’re prepared to help monitor your social media accounts and collect your engagement data. We will can also help you schedule your posts, so they go live at peak engagement times. If you’ve got a project that feels outside of your capable scope, we offer per-project support to help you achieve your engagement goals.

  • Having a regularly updated blog can be a great way to engage with your clients. We offer services to help the creation process: proofreading your content to ensure it is ready to be consumed and researching information to help substantiate your blog content. Additionally, we want to help with scheduling your content to make sure it goes live at the best times for your audience.

  • Email marketing campaigns are still wildly successful. If you’ve been working to expand your reach on social, consider using an email campaign or funnel to drive measurable engagement to your site, blog, or other content on the internet. The great thing about a well-organized campaign is that it’s targeted to your clients or potential clients who have offered their contact information. We can work with you to monitor your campaigns and help you understand the data so you can continually create effective campaigns.
